Drag and Drop Email from Outlook to SharePoint Posted on by Recently, a few people have asked me about archiving email from their Outlook mailbox into a SharePoint document library. The concept involves dragging and dropping an email directly from an Outlook folder into SharePoint in order to archive the email (and attachments) into a shared location. Sounds like a good idea, but Outlook doesn’t let you drag the email into a Document Library, as acknowledged on Microsoft’s own SharePoint blog. So how can you use the drag and drop functionality? The answer is to use a Discussion Board instead.

For those of you familiar with SharePoint, it’s as easy as creating a discussion board, connecting it to Outlook, then dragging and dropping an email. Detailed steps for SharePoint 2010 are below: Creating a Discussion Board • Open the SharePoint site. Go to Site Actions, then More Options. • From the list of objects, choose Discussion Board. Type a name. Click Create.

Connecting to Outlook • Open the Discussion Board. Go to the List tab. • Click Connect to Outlook from the Connect and Export group. • Click Allow and/or Yes to the associated prompts. Drag Email into the SharePoint List • Once connected to Outlook, find the Discussion Board in Outlook in the Navigation Pane under the heading SharePoint Lists. • Drag your email and drop it onto the Discussion Board.

Your email will appear in the discussion board as if it had been forwarded (so the original copy still remains in Outlook). • Delete the email from your Outlook folder, if desired.

That should do it! Keep in mind that attachments should also transfer to SharePoint. To view those attachments from SharePoint, open the item in SharePoint by choosing View Item from the drop down menu next to the email. Scroll to the bottom of the form to view attachments.

If you have an existing email chain, or conversation with replies, in my experience if I drag multiple emails from that conversation into the SharePoint discussion board Outlook DOES link it to the correct post. But if you have an email item that Outlook understands is unrelated to any particular posting, dragging and dropping into the SharePoint discussion board isn’t going to work out.

There is no way to choose which post it should go to – SharePoint assumes it is a new post.
